Resources are a powerful tool within worksmartanew to customize your homepage.
Introduction to Resources
Resources provide an easy way to collaborate or share information. In addition, the information contained in resource pages, unless otherwise permissioned, can be edited by all members simply by clicking “Edit” and then making changes as you would on a word processing program.
Resources can host multimedia within the page. You can embed JotForms, data visualizations from other sources, documents, videos, images, links and tables. Readers can also make comments at the bottom of the resource, therefore, allowing for immediate collaboration between members that link directly to the resource and can be viewed by other members at any time.

How to create a Resource
Step 1
Click on the Resources icon & click the green button New Resources.
Step 2
Enter a resources name, set desired permissions, and insert text/links/images as you wish. You can preview and save it when complete.
You can see that I created a “test note.” You will then see it appear when you click on the Resources section.
Step 3
Start collaborating on the resources with those permissioned to edit or by using the collaboration tools at the bottom on the resource.
How to apply permissions to resources
You can set permissions on resources to restrict who can view or collaborate on them. To set permissions on an existing resource, go to the permissions icon at the bottom of the resource and click into it.
Permission options:
- All Client Team: All members can see the resource. Using the dropdown, you can select whether you want members to be able to view, view & share, view & edit, view/edit & delete, or administer the resource.
- Individual Team: To set individual permissions (e.g., if you only want specific members to have access to the resource) select the ‘Add from Client Team’ button. Then, select the members who you want to have permissions on the resource.
- Here, you also have the option of setting permissions via user tags or email address, alongside the member list.
How to host multimedia files (links, images, video, documents)
In Resources, you can insert links, images, videos, and documents by clicking on the insert dropdown within a resource. Below are the steps to do this:
Step 1
Navigate to a Resource & click “Edit” in the top right corner.
Step 2
Select the “Insert” dropdown & select the option that is right. These include:
- Insert Link
- Insert Image
- Insert Video
- Insert Document
For example, to insert a link- paste in the URL and select the resource you want the link to be in.
Step 3
Once you have inserted and made additional edits, click “Save”
Below is how the URL in the above example will appear:
If an image had been inserted, you will choose to upload an image and then make formatting edits. For videos – it is best to use ‘embed media.’
How to use JotForm
In worksmartanew you can create a JotForm as a type of resource. JotForm is a web-based form builder where you can create forms, embed them into your portal and receive responses by email or store them. To create a JotForm, you will navigate to the homepage & select the green ‘New Resources’ button. Then select ‘Insert’ > ‘Embed JotForm.’ Follow the instructions from there (see below).
How to use iFrames
You can customize your dashboard by bringing in other sources (such as Google Docs, Databox & Tableau) with iFrames. An iFrame is tool used to create & apply a private tokenized link that can be embedded into Resources in worksmartanew.
Any URLs the Administrator would like to iFrame and post in the portal needs to first be an approved domain. The administrator would work with the team at HR Anew to approve the URL.
How to embed media
To embed media in a resource, navigate to the homepage & select the green ‘New Resources’ button.
Then select ‘Insert’ > ‘Embed Media’
Paste in your URL, e.g., a YouTube video link.
Type in a resource name and click save. You can also set permissions here if you desire.
The resource will now appear in the Resources section and be available to interact with the embedded content.
Members can interact with the resource by clicking on “Post comment.”
